Built inside a working Australian bookkeeping & payroll firm

The accounts inbox that sorts itself

Your clients email you everything. Recount reads it, works out whose it is and what it is, and gets on with it. The routine stuff goes straight to Xero. The rest reaches your team with the work already started

Bookkeeping and payroll teams use Recount to clear the inbox faster, keep Xero up to date and get their day back

Works where your firm already worksXeroOutlookMicrosoft 365

An inbox that knows a bill from a timesheet from a question. Clients send whatever they send; Recount works out what each email is, does what it can, and leaves your team only the part that needs a person

How it works

Every email gets one of two outcomes: done, or handed over

  1. 01

    It arrives

Recount watches the mailbox your clients already send to. Nothing changes for them

  2. 02

    It's sorted

Which client is this, and what is it: a bill, a receipt, a timesheet, a question? An email it can't place waits for a person rather than being guessed at

  3. 03

    It's done

Anything that can be automated is: the document is read as written, every total is recomputed, and the entry is drafted in Xero with the original attached

  4. 04

    Or handed over

Anything that can't is queued for your team with the reading already done and the source beside it. One queue across every client

What it clears

The things that pile up in the inbox

Bills & receipts

Supplier invoices and photographed receipts are read, coded to the accounts your client already uses, and sent to Xero with the PDF attached

Timesheets

Paper, photos and spreadsheets become draft pay runs, with start and finish times kept so penalty rates come out right

Everything else

Questions, statements, remittances and unknown senders are sorted to the right client and handed to a person. Never left sitting, never guessed

The list of what gets automated keeps growing. Each addition is one more kind of email that never reaches your team, and one less thing in the inbox

Before anyone pays it

The invoice that is not what it looks like

Payment redirection fraud arrives as an ordinary invoice from a supplier you know. Recount reads the email as well as the document, so the tells surface before the bill is approved

Stops the bill

The bank details changed

What Recount saysBSB and account differ from Harbour Produce’s verified details, confirm before paying

Each supplier’s payment destination is remembered from the bills you have already approved and from Xero. A new one stops the bill and asks a person, so nobody pays a swapped account by reflex

Flagged for your team

The email is not what it claims

What Recount saysfrom @harbourproduce.com.au but replies go to @harbour-produce.net

Recount flags a reply address that leaves the sender’s domain, a lookalike domain, an address mixing character sets, and a sender writing to you for the first time. The reading still happens, with the flag attached to it

Nothing is silently paid and nothing is silently deleted. A flag routes the document to a person with the evidence beside it, and what they decide is recorded

Accuracy you can audit

Let us tell the story of your accounts

Every figure Recount puts in Xero can say where it came from: the email, the page, the person who approved it. Four rules make that true

38½

Read as written

The document is the source of truth. Recount proposes a reading beside it. It never quietly corrects what the client sent

Blank means blank

If the page doesn't say it, Recount doesn't fill it in. It flags the gap and asks your team

Unsure means ask

An email it can't place, a number that doesn't add up, two readings that disagree: all of it goes to a person. Recount never posts a guess

Questions

Asked by the firms we talk to

Does anything go into Xero without us seeing it?

No. Recount prepares drafts. A person on your team approves each bill and pay run before it's posted

What happens to an email it doesn't understand?

It goes to your team, sorted to the right client where that's known, with whatever Recount could read already done. Nothing is guessed and nothing sits unread

Can it really read handwritten paperwork?

Yes. Each document is read twice, independently, and every total is recomputed. Where the readings disagree or the handwriting is unclear, it goes to your team with the scan beside it

Can it catch a fake invoice?

It catches the common ones. A bill whose payment details differ from that supplier’s verified destination is stopped rather than merely noted, and the email is checked alongside the document for a lookalike domain, a reply address that leaves the sender’s domain, an address mixing character sets, and a first-time sender. Each flag reaches a person with the evidence beside it

Where is client data processed?

Client documents are processed by AI models hosted in Amazon's Sydney region, so they stay in Australia

Which mailbox and ledger does it work with?

Recount connects to Microsoft 365 mailboxes and to Xero today

Does it get better at each client's paperwork?

Yes. When your team corrects a reading, Recount learns that client's layout and conventions, and that learning stays with that client
